Having the documents isn't enough they all need to match each other. One name spelled differently across two forms can hold your whole application up. In many cases, this leads to requests for additional information, which can add weeks to processing times.

Proof of Identity

Your passport is the main identity document for your entire application. You must submit all pages, not just the photo page, as immigration officers review travel history, entry and exit stamps, and previous visas as part of identity and character checks.

You will need:

  • A valid US passport that covers your entire planned stay
  • A US birth certificate issued by your state’s vital records office
  • Marriage certificate, divorce certificate, or legal name change documents if your name has ever changed
  • Passport photos that meet Australian Department of Home Affairs requirements

Your name must match everywhere. If your passport says "Robert" and your birth certificate says "Bob," you'll need to explain that gap with a legal document.

Academic and Professional Qualifications

Australian assessing authorities review your qualifications based on two main factors: the level of education and how relevant it is to your occupation. The reputation of your university does not matter. A degree from a small college and a top university are treated the same if they meet the required standard.

You will need:

  • Certified copies of your degree, diploma, or trade certificates
  • Official academic transcripts showing all subjects and grades
  • Any professional licenses, certifications, or state registrations related to your occupation

All documents must be in English. If any were issued in another language, you must provide certified translations from an approved translator.

Employment History and Work Experience

This is one of the most closely reviewed parts of your application. The way your work experience is described can determine whether your skills assessment is approved or refused, regardless of how strong your career is.

You should prepare:

  • Detailed employer reference letters (most important)
  • Employment contracts for each role, if available
  • Recent payslips or payroll records
  • IRS W-2 forms or federal tax returns to support your employment history
  • If self-employed: business registration documents, client contracts, invoices, and tax records

For self-employed applicants, the requirements are stricter. You must clearly prove the nature of your work, how long you did it, and the scope of your responsibilities using real documentation, not just written statements.

Criminal Record Checks

Australia has strict character requirements, and police checks are required for all applicants. US applicants often need more than they expect.

You will need:

  • FBI Identity History Summary (main federal background check covering all US states)
  • State police checks, depending on your residence history and assessment requirements
  • Police certificates from any country where you lived for 12 months or more since age 16

The FBI check can take 12–16 weeks by mail, or 3–5 business days through an approved channeler. It must be issued within 12 months of your visa application. Medical Examination

All applicants must complete a medical exam through an Australian government-approved Panel Physician. You cannot use your regular doctor.

The medical exam usually includes:

  • Full physical examination
  • Chest X-ray (for tuberculosis screening)
  • Blood tests (depending on age and visa type)
  • Additional tests if required based on medical history

Results are submitted electronically through the HAP (Health Assessment Portal), and you receive a HAP ID for your application.

Medical results are valid for 12 months. If visa processing takes longer than expected, you may need to repeat the exam.

In major US cities like New York, Los Angeles, Chicago, and Houston, appointments can take several weeks to book, so early scheduling is recommended.

Financial Documents

Financial documents are mainly required for student and temporary visas, but they may sometimes be requested for skilled migration applications.

You may need:

  • Bank statements from the last 3–6 months
  • Proof of savings or investment accounts
  • Payslips or income records
  • IRS tax returns

Your financial history should look stable and consistent. Large or unusual deposits may need to be explained with supporting documents such as property sales, bonuses, or inheritances.
